Project Management and Events Committee

Concept creation, brainstorming, theme setting, data collection, identifying relevant international days, benchmarking (review similar events , suggest ways of doing better), ideation, prepare campaign proposals, setting agenda, suggest venue/digital platform., report to the campaign lead and point out difficulties and sort out ways of tackling them. Working cross committees to ensure the targets/concept is concretized.

Essential Duties and Responsibilities

  • Identify, plan and organise requirements and expectations for each event.
  • Prepare event budgets and process invoices.
  • Draw up event budget, research and book venues.
  • Organize support staff or volunteers to facilitate event activities,and entertainment.
  • Coordinate and set up logistics for events.
  • Ensures that event environments are  set up, torn down and kept clean and orderly at the end of each event.
  • Anticipate the community needs and strategize against potential risks.
  • Follow up and contribute to developing post-campaign reports to ensure that concepts have been achieved and targets have been reached.

Evaluation

The first three months of the volunteer experience will be an orientation period with an evaluation upon completion of the orientation period. All volunteers will have an opportunity for check-ins every 60 days with formal evaluations from the committee Co-Chairs every six months about their work and performance to help guide them in their professional development.

Training and Supervision

  • Attends general volunteer orientation
  • Participates in capacity building and educational workshops throughout their time as a volunteer
  • Training and supervision conducted by the Co-Chairs of Project Management & Events Committee

Time Commitment

  • 10-15 hours per week
  • Flexible hours that are result oriented; occasionally more hours (temporarily) as needs arise
  • Activities and meetings will be set collaboratively to fit volunteers’ schedules
  • Commitment includes time required to communicate with Co-Chairs and Board of Directors
